Church Office Manager (Posted February 23, 2024)

POSITION OVERVIEW

The SJUCC Church Office Manager is responsible for the efficient operation of the St. John’s UCC office.  Specifically, the SJUCC Church Office Manager will:

  • Interact with the staff, council leadership, volunteers, congregation, community members, and guests, in an enthusiastic manner that is helpful, courteous, pleasant, and professional
  • Keep in strict confidence information acquired through the duties of this position, which may be personal in nature to church members and/or staff
  • Ensure the church office runs smoothly; develop and recommend improved office procedures and systems
  • Possess the required education and skills

RESPONSIBILITIES

Interact with the staff, council leadership, volunteers, congregation, community members, and guests in an enthusiastic manner that is helpful, courteous, pleasant, and professional. The Office Manager must keep in strict confidence information acquired through the duties of this position which may be personal in nature to church members and/or staff.

  • Present a positive “first face” of SJUCC consistent with the love of Christ
  • Be able to independently and proactively complete tasks and communicate to others
  • At the direction of the staff, manage communications on behalf of the church in a respectful manner, including email, social media, phone, walk-ins, US mail, etc.
  • Assist the staff, board chairs with clerical and administrative support
  • Update pastors regularly regarding hospitalizations & illnesses
  • Maintain visitation logs and prayer requests for members of the church
  • Work with families to make arrangements to conduct Weddings and Funerals
  • Understand confidences and use discretion in discussions of sensitive matters

Ensure the church office runs smoothly; develop and recommend improved office procedures and systems

  • Provide general support to visitors
  • Manage relationships with vendors, service providers, office leases, etc.
  • Participate in periodic meetings of the Staff and Council.
  • Prepare and print or email periodic service bulletins and newsletters.
  • Manage church calendar and event scheduling with various groups
  • Order flowers for worship services
  • Maintain accurate membership records and first-time visitor log.
  • Collect, analyze and document all yearly financial/member/staff information for the Pennsylvania Southeast Conference yearbook
  • Prepare the Church Mutual annual workers compensation audit
  • Manage the daily mail for the church, staff and volunteers
  • Maintain appropriate inventory of church office and volunteer supplies
  • Ensure security, integrity, and confidentiality of data
  • Recruit and train volunteers with an eye to individual’s strengths and weaknesses.
  • Communicate with the Society of St. Vincent de Paul regarding those in need of St. John’s and community services.
  • Liaison with St. John’s tenants and those using our facilities.
  • Schedule building usage with Lansdale Montessori, members of the church, and outside renters (eg. Girl Scouts, NAMI/AA/Chess Club/Lansdale Police Department, etc.)
  • Facilitate the necessary certificate if insurance, registration forms and payments to local organizations for use of their facilities (Whites Road Park and Plains Mennonite Park)

GENERAL QUALIFICATIONS

Required Skills and Qualifications

  • Proven office management experience
  • Excellent people skills
  • Ability to adapt to changing situations in a calm and professional manner
  • Strong time-management skills and multitasking ability
  • Proficient in Microsoft Office, with aptitude to learn new software and systems
  • Able to lift 35# boxes of supplies and mailings.
  • High school diploma or equivalent

 

Preferred Skills and Qualifications

  • College degree
  • Previous success in office management preferably in a faith-based organization
  • Experience managing budgets and expenses
  • Experience developing internal processes and filing systems
  • Comfortable handling confidential information
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills

 

EMPLOYMENT HOURS, COMPENSATION AND BENEFITS

Fulltime 40 Hours per week, Monday-Friday 8-5

Salary range, $38,000 to $43,000 annually based on experience and qualifications plus Health/Dental/Vision Benefits

Reports to the Senior Pastor.
